Automated Installation Request Workflow

Installation documentation is now generated and delivered automatically. Staff no longer need to manually gather files or prepare emails, reducing administrative work and ensuring installers consistently receive the correct project information before arriving on site.

Project Overview

A company managing installation projects stored job data and technical documents inside monday.com, but preparing installation packs for engineers was still a manual task. Staff had to collect drawings, electrical requirements, checklists, and project information before sending emails to installation teams. I built a Make.com automation that triggers when an installation request status changes in monday.com. The automation retrieves the full project record, gathers the relevant installation files stored in the board, and prepares the required documentation automatically. The system pulls confirmed drawings, electrical requirement documents, and installation checklists directly from monday.com file columns. It also formats project data such as installation dates to ensure consistent formatting before sending the information externally. Once all documents are collected, the automation generates and sends a structured email containing the installation pack and attachments to the relevant team. This ensures installers receive all required documentation without manual preparation.
