Company Wide Date Management System

Dates now update automatically across all relevant boards. Project timelines stay accurate, admin time has reduced and the team no longer miss key follow ups or handover dates due to manual errors.

Project Overview

The company was managing multiple projects across several boards in monday.com. Each project had key dates on the main card and additional dates on subitems. When a status was marked done or a main project date changed, the team had to manually update related dates across different levels. This created confusion, inconsistencies and a high risk of missed deadlines. We designed a company wide date management system using Make.com. The automation monitors specific status and date columns across boards. When a subitem is marked done, it automatically sets the next required date. When a main project date changes, it recalculates and updates linked dates on subitems and connected boards. All date logic is handled centrally, following clear rules defined with the client. This removed the need for manual date adjustments and ensured every board stays aligned. The result is a structured, reliable system where timelines update automatically, projects stay on track and the team can focus on delivery instead of admin.

The Challenge

The company managed projects across multiple boards with many linked dates. When a status was marked done or a main date changed, the team had to manually update several related dates on main cards and subitems. This caused delays, missed follow ups and inconsistent timelines across boards.

The Solution

We built account wide automations in Make.com that monitor status and date changes. When a subitem is marked done or a key date is updated, the system automatically adjusts related dates on primary cards and linked subitems. All date rules are handled centrally, removing manual updates and keeping timelines aligned.
