Automated Holiday Request Workflow
Holiday requests are now processed automatically with built in conflict detection and notification workflows. Managers spend far less time reviewing requests, employees receive faster responses, and the company avoids overlapping leave that could impact operations.
Project Overview
A company was managing employee holiday requests inside monday.com but the approval process still required manual checks. Managers had to review each request, compare dates against existing approved leave, and manually communicate decisions to employees. This created delays and increased the risk of overlapping holidays within teams. I implemented a workflow automation using Make.com that monitors new holiday request items and subitems submitted through monday.com. When a request is created, the system retrieves the full request details and automatically searches the board for any existing approved holidays during the same date range. If a date conflict is detected, the automation automatically declines the request to prevent overlapping leave. If there is no conflict, the request is routed into an approval workflow where managers receive notification emails and can approve or decline directly through monday.com. The system also handles communication automatically. Employees receive email notifications when requests are approved, declined, or require further review. The entire process now runs through structured automations, removing the need for managers to manually check calendars or send updates.
The Challenge
Holiday requests were manually reviewed, requiring managers to check dates against existing leave and communicate decisions, leading to delays and scheduling conflicts.
The Solution
A Make.com automation checks new requests against approved holidays, automatically declines conflicting requests and sends approval workflow notifications via email.
