Automated QuickBooks Invoicing from Monday.com

Invoices are created in QuickBooks within seconds directly from monday.com with no manual re entry. Product and customer mapping is accurate, pricing rules are applied consistently, and totals are synced back for visibility. Admin time is reduced, errors are eliminated, and invoice tracking is fully controlled by status.

Project Overview

This company needed to remove manual invoice duplication between monday.com and QuickBooks. Invoices were created in monday.com using subitems, pricing logic and optional overrides, then manually re entered into QuickBooks. This created errors, delays and wasted admin time. We built a Make.com automation triggered by a Send status in monday.com. The scenario retrieves the full item and subitems, loops through each line, applies pricing rules, calculates totals, and writes values back to monday.com for consistency. It searches QuickBooks items by SKU to retrieve the correct Item ID, checks for an existing customer by email, creates one if needed, then builds a correctly structured invoice line array and creates the invoice in QuickBooks. The result is instant, accurate invoice creation with consistent pricing, clean product mapping and clear status tracking inside monday.com.

The Challenge

It searches QuickBooks items by SKU to retrieve the correct Item ID, checks for the customer by email, creates one if missing, then builds a properly structured invoice line array and creates the invoice automatically in QuickBooks.
